Job Description

JOB TITLE: FRONT DESK OFFICER JOB DESCRIPTION Your responsibilities include the following but not limited to: • As the first contact person, you serve as the face of the employer • Meeting and greeting Visitors, Customers and Clients at all levels of seniority • Answering and screening phone calls and routing calls to appropriate recipient, taking and relaying messages as needed. • Maintaining diaries, Scheduling appointments, verifying identification and signing in guests • Act as a liaison between clients and executive staff • Ordering or purchasing office supplies, filing documents, making photocopies and sending and receiving faxes. • Devising and maintaining office systems, including data management and filing • Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations; • Dealing with incoming email, faxes and post, often corresponding on behalf of the manager; • Taking dictation and minutes; • Carrying out background research and presenting findings; • Producing documents, briefing papers, reports and presentation; • Organizing and attending meetings and ensuring the Manager is well prepared for meetings; • Opening and closing the Establishment • Any other responsibility assigned by management. SKILLS/COMPETENCIES • Excellent and written communication skills • Excellent Customer Care skills • Attentive to detail and high prioritization skills • Proficiency in Computer applications and ability to learn customized software • Be capable to take higher responsibilities • Proactive and a fast learner • Ability to work under minimal supervision • Polite, humble and trustworthy • Must possess a high level of confidentiality • Ability to travel and work extra hours when necessary MINIMUM QUALIFICATION • Bachelor’s degree in Mass Communication, English Language, Business Administration or related discipline
